Terms and Conditions
Essential Information Regarding Payments, Cancellations, and Travel Policies
1. Booking Confirmation
All bookings with Kipe Adventure are confirmed upon receipt of a deposit and written confirmation from our team. By confirming a booking, the client agrees to these Terms & Conditions.
2. Deposits & Final Payments
A 40% deposit is required to confirm and secure all safari, trekking, and travel bookings with Kipe Adventure.
The remaining 60% balance must be paid at least 30 days before the tour starts, unless otherwise agreed in writing.
Bookings made within 30 days of arrival may require full payment at the time of confirmation.
Please note:
• Some accommodations, flights, permits, or special experiences may require additional advance payments depending on supplier policies.
• Bank transfer fees, international transaction fees, and credit card charges are the responsibility of the client.
3. Cancellation Policy
All cancellations must be made in writing.
The following cancellation charges may apply:
• More than 90 days before arrival: Deposit transferable to future travel dates within the same calendar year
• 60–89 days before arrival: 20% cancellation fee or 100% Full Credit Note
• 30–59 days before arrival: 40% cancellation fee or 100% Full Credit Note
• 0–29 days before arrival: 100% cancellation fee
Credit notes are valid within the same year as the original travel dates and are subject to availability and supplier conditions.
Where applicable, approved refunds will be processed within 25 business days.
Please note that some park fees, flights, permits, and accommodation payments may be non refundable according to third-party supplier policies.
Kipe Adventure will always do its best to minimize cancellation costs whenever possible.
4. Changes by the Client
If a client wishes to change travel dates, accommodations, itinerary, or activities after confirmation, additional costs may apply depending on availability and supplier conditions.
We will always do our best to accommodate reasonable requests.
5. Changes by Kipe Adventure
Kipe Adventure reserves the right to make minor changes to itineraries when necessary due to:
• Weather conditions
• Wildlife movements
• Road conditions
• Safety considerations
• Operational circumstances beyond our control
In rare situations where major changes are required, we will offer suitable alternatives whenever possible.
6. Travel Insurance & Flying Doctors Coverage
Comprehensive travel insurance is strongly recommended for all travelers and should include:
• Medical expenses
• Emergency evacuation
• Trip cancellation
• Delays
• Personal belongings
• Adventure activities and trekking coverage
For additional safety, Kipe Adventure includes Flying Doctors emergency evacuation coverage during your safari or trek within East Africa.
Travel insurance remains the responsibility of the client.
7. Health & Fitness
Clients are responsible for ensuring they are physically and medically fit for their chosen safari, trek, or activity.
Any medical conditions, allergies, dietary requirements, or mobility limitations should be communicated before travel.
8. Passports, Visas & Vaccinations
Clients are responsible for ensuring they possess:
• Valid passports
• Appropriate visas
• Vaccination certificates where required
• All necessary travel documents
Kipe Adventure is not responsible for denied entry resulting from incomplete documentation.
9. Wildlife & Safety Disclaimer
Travel in wilderness areas involves inherent risks. Wildlife sightings and natural conditions are unpredictable.
Clients must follow all instructions provided by guides, rangers, and camp staff at all times for safety purposes.
Kipe Adventure shall not be held liable for incidents resulting from failure to follow safety instructions.
10. Accommodation & Transportation
Kipe Adventure carefully selects accommodations, camps, lodges, and transportation providers to ensure comfort, safety, and quality service.
In rare situations, substitutions of similar standard may be necessary due to availability or operational circumstances.
11. Responsible Travel & Cultural Respect
Kipe Adventure is committed to sustainable and responsible tourism.
We kindly ask all travelers to respect:
• Local cultures and traditions
• Wildlife and natural environments
• Conservation regulations
• Community guidelines
Our experiences are designed to positively support conservation, local communities, education, women empowerment, and cultural preservation.
12. Community Visits & Photography
Community visits should always be approached with sensitivity and respect.
Guests are kindly requested to ask permission before taking photographs of local people, especially children.
13. Force Majeure
Kipe Adventure shall not be held responsible for delays, changes, or cancellations caused by circumstances beyond our control, including but not limited to:
• Natural disasters
• Extreme weather
• Government restrictions
• Political unrest
• Airline disruptions
• Pandemics
• Road closures
• Other unforeseen events
14. Liability
Kipe Adventure acts as an organizer of travel services and shall not be held liable for:
• Personal injury
• Loss or damage of personal belongings
• Delays or interruptions
• Third-party service failures
• Circumstances beyond our reasonable control
Clients participate in all activities at their own risk.
15. Photography & Media
During trips, photos and videos may occasionally be taken by Kipe Adventure for promotional and storytelling purposes.
If a guest prefers not to appear in media content, kindly inform us in advance.
16. Complaints
If any issue arises during the trip, clients are encouraged to immediately inform their guide or Kipe Adventure representative so we can do our best to resolve the matter promptly.
17. Acceptance of Terms
By confirming a booking with Kipe Adventure, the client acknowledges and accepts these Terms & Conditions.
